This Privacy Policy explains how Vellint collects and uses information through its website and software service. It applies to website visitors, people who contact us and users of customer workspaces.

Information we collect

Depending on how you use Vellint, we may receive:

  • contact and demo-request details, such as your name, work email, organisation and the information you choose to include in an enquiry;
  • account and access information used to authenticate users, assign roles and determine project access;
  • customer-uploaded source documents, templates, project data, engineering inputs, decisions, drafts and saved revisions; and
  • technical and operational information, including service logs, job status, device or browser information, network information and security events.

How we use information

We use contact details to respond to enquiries and arrange demonstrations. Account information allows us to manage sign-in and project access. Customer content is processed to carry out the document workflows users request and preserve their project records. Operational information helps us diagnose faults, improve reliability and usability, prevent misuse and meet legal obligations.

Customer documents and confidentiality

Customers retain ownership of their documents and project data. We process this content to provide, support and secure the service, and as otherwise agreed with the customer. Access depends on organisation membership, role and project permissions. The customer agreement may set out additional confidentiality obligations.

AI and model processing

Some document workflows use external AI services. To perform these operations, Vellint sends relevant project material to the configured provider. This may include source text, engineering inputs, questions and draft content. The provider’s processing and retention terms also apply. Contact us for the provider details and data handling arrangements relevant to your deployment.

Infrastructure and service providers

We use service providers for hosted infrastructure, sign-in, email and AI processing. These include Amazon Web Services and Zoho Mail. Providers handle information as needed to deliver their services and under their applicable terms. Information may be stored or processed outside your country, subject to applicable contractual and legal safeguards.

Retention and deletion

We retain information for as long as needed to provide the service, maintain project records, meet contractual or legal obligations, resolve disputes and protect the service. Retention depends on the type of data and the status of the project. Active records and saved revisions are preserved; unused uploads and temporary working data are subject to cleanup. Archiving a project or organisation does not delete its records. Contact us to request deletion. We verify your authority and consider contractual duties, backup retention and legal requirements before acting.

Security

We protect hosted customer information through authenticated access, organisation and project permissions, private storage and encryption in transit and at rest. No system can guarantee absolute security. See Security & Data Handling for an overview of these controls.

Cookies and analytics

The public website does not use advertising cookies or third-party analytics. The authenticated product may use browser storage and technically necessary mechanisms to maintain sign-in state and application operation. If this changes, this policy will be updated before optional tracking is introduced.

Your choices and requests

Contact us to request access to, correction of or deletion of personal information, or to ask how it is used. Requests concerning a customer workspace may need to be handled through your organisation. We may verify your identity and authority before responding. Your rights depend on applicable law.

Policy updates

We may update this policy as the service, providers or legal requirements change. The current version will be posted here with its updated date.
